Create one approval record per SKU
A five-product launch can involve different dispensing systems, application areas and directions. Build a record containing the product name, size, sample code, artwork revision, packaging reference and decision owner. State what is approved and what remains open. If a buyer changes the pump after reviewing a sample, the filled-pack approval needs to address that change.
Keep commercial approval separate from technical approval. Accepting a unit price does not settle the directions, packaging compatibility or destination documents. Likewise, liking a label design does not approve a production schedule or every product claim printed on it.
Use three handover gates
Gate 1: sample scope
Identify the selected version and supplied directions. Consolidate feedback on dispensing, handling and the intended cosmetic experience. Request the applicable ingredient and product information for that version. Reuse confirmed documents where they apply; review changed scope without assuming that the factory has no previous evidence.
Gate 2: packaging and artwork
Approve capacity, container, closure, label text and carton presentation together. Resolve barcodes, batch-marking position and market-language layout. Check that the approved PAWS FUN or private-label artwork is applied to the correct product. Matching colours across a range should never obscure different use instructions.
Gate 3: production and release
Agree the checks, acceptance criteria, record format and handling of nonconforming results. Ask how the finished batch will be matched to the approved reference and what release information accompanies the shipment. Discuss transport packaging, samples retained where applicable and how a later issue can be traced to a batch.
Make the RFQ comparable
Use the confirmed cat-series 500 pcs per SKU as the initial enquiry basis. Ask for a line-item scope covering the selected formula, container, decoration, outer pack and agreed support. Identify optional work separately. MOQ and timing for requested changes must be confirmed for the actual project; neither should be inferred from a different supplier’s catalogue.
