Before printing, connect each artwork file to one agreed SKU specification: formula reference, fragrance, fill size, packaging and destination version. Name the person responsible for approval and freeze the accepted file. A visually approved label is not ready for production if its text, code or bottle assignment still refers to another product.

Build One Approval Sheet per SKU
A range may share colors and typography while containing different instructions, quantities and item codes. Copying a previous layout saves design work, but the changed fields still need explicit review.
Create a simple sheet that includes:
- Buyer SKU and working product name.
- Approved formula and fragrance references.
- Fill quantity and unit of measure.
- Bottle, pump or closure reference.
- Artwork filename and version date.
- Destination and language version.
- Item-code owner and code supplied by the buyer, if applicable.
- Approval owner, decision and date.
Do not place commercial account credentials, passwords or private customer information into the printable file. Production needs the correct approved data, not access to the buyer's marketplace account.

The buyer and relevant adviser should resolve market-specific requirements. A design proof or factory signature does not establish regulatory approval.
Review Codes on the Finished Surface
Ask the buyer or nominated code owner to provide the correct identifiers and confirm the sale unit they represent. Review print quality and readability on the final material and container. Do not approve only a code displayed on a computer screen and assume the printed result will be identical.
Any channel-specific barcode or carton-label requirements should be supplied in writing for the current project. This guide does not assign codes or promise acceptance by a particular marketplace.
Make Late Changes Visible
Use a revision table with three fields: what changed, why it changed and which files or components are affected. A quantity change may also affect the bottle, carton and quotation. A revised fragrance name may require checking several language layouts.
When replacing a file, clearly mark the earlier version as superseded in the project record. Agree how the print supplier, filling team and packing team receive the same final reference. Avoid sending a file named “final-new-final” without a version identifier.
Connect the Line Check to the Approval
Before the relevant production stage, compare the intended product, available packaging and accepted artwork reference. Agree who checks the initial assembled units and how any mismatch is held for review. Record corrections before continuing under a revised approval.

Can one approval cover every item in a range?
Use a shared process, but identify each SKU and its approved file. A range-level message should not conceal unreviewed differences.
Does sample approval also approve the artwork?
Only if the approval record explicitly identifies both. Formula, packaging and artwork decisions should converge into one production specification.
Can an old label be used until the new one arrives?
Do not assume interchangeability. Review whether the older label accurately represents the product and meets the agreed market requirements before deciding.
